Receptionist/Customer Service Specialist

Position Summary

The Receptionist/Direct Bill job will provide general office support with a variety of clerical activities and related tasks. This position will be responsible for answering incoming calls, directing calls to appropriate associates, mail distribution, scanning documents, managing direct bill, as well as additional clerical duties.

 Essential Duties and Responsibilities

  • Answer telephones and direct calls.
  • Greet and direct visitors to the company.
  • Receive, sort and forward incoming mail.
  • Coordinate the pick-up and delivery of express mail services (FedEx, UPS, etc.).
  • Operate postage machine, copier, printer, and fax machine.
  • Flag and transact commission statements.
  • Retrieve commission statements off the internet as needed.
  • Take payments and process on carrier websites.
  • Scan documents and upload into EPIC.
  • Other duties may be assigned to meet business needs.

Qualifications

Experience & Education

Experience

  • Prefer at least two years of administrative experience
  • Demonstrated success in overall customer service

Education / Certification

  • Associate’s degree preferred; must have high school diploma/GED
  • Willingness to continue education is essential

Skills and Abilities Required

Technical:  Intermediate to advanced-level proficiency with Microsoft Office Products, Excel, Word, and Outlook.  EPIC software proficiency preferred, but not required.

  • Ability to work with internal and external clients at all levels

  • High level of organization ability
  • Ability to follow processes and procedures and help develop new processes and procedures to help the company become more efficient
  • Must be detail-oriented

  • Effective, professional verbal and written communication skills
  • High level of maturity and stability with an “optimistic” approach
